A common worry: "to adopt AI, we'll have to change our CRM and rebuild everything." In practice it is the opposite: a good AI process connects to what your team uses today and does not require switching.
How AI connects to your systems
- APIs and webhooks. Most modern services (HubSpot, Slack, Xero, Notion, Stripe and others) provide data and accept commands through an API. Webhooks tell the system about events: a new lead, a payment, a status change.
- Google Sheets. A spreadsheet often becomes a lightweight CRM or log: AI reads and appends rows, and your team sees everything the way it is used to.
- Telegram as an interface. Approvals, notifications and reports are convenient to receive where your team already talks.
- Email and documents. Incoming emails, invoices and files are parsed and sorted into your systems.

How to do it safely
- Minimum permissions. We start with read-only access and expand it only when the task truly requires it.
- Human confirmation. Actions involving money, publications and outgoing emails wait for approval.
- An action log. Every AI action is recorded and can be reviewed and replayed.
- Data limits. AI sees only what the task needs, not the whole database.
What we do in practice
In one project we connected HubSpot, Monday, Slack and Xero through REST and webhooks, while a receipt tracking bot wrote data to Google Sheets and sent daily reports. A similar principle underlies the receipt tracking platform: the system only handles tracking and reconciliation and never moves money itself, and every message and edit is stored and can be replayed.
Checklist before integrating
- Which systems are involved and which of them have an API.
- Who owns the data and who approves access.
- Which actions AI can take on its own and which it can only suggest.
- Where the log is kept and who reviews it.
FAQ
Will I have to change my CRM?
No. AI connects to your current system through its API, and you keep working in the interface you know.
Is it safe to give AI access to my data?
Yes, if access is limited: read-only at first, minimum permissions, human confirmation for important actions and a log of all operations.
